Business Email

Get your own professional address, like yourname@kalhope.com, for your CV, your clients and your email signature. Here is how to create it, how to read your mail, and what to do if something does not work.

Chapter 1

What business email is

Business email gives you a real mailbox with an address you choose, such as yourname@kalhope.com. You can send and receive mail with it, in your browser or in an email app like Gmail, Outlook or Apple Mail.

It is included in the Enterprise and Lifetime plans, not in Starter or Professional. You can have one address per account. Lifetime never expires, so its address stays active. An Enterprise address stays active while your Enterprise plan does.

The whole job in three steps

Choose a name and create the address, save the password it shows you, then open your mail in the browser or add the address to your email app.

Chapter 2

Create your address

  1. Sign in and open Dashboard → Settings → Business email.
  2. Type the name you want, for example abebe.kebede. The page shows the full address as you type.
  3. Press Create email.

If the page says your plan does not include business email, open Billing to see the plans.

Rules for the name

Use 3 to 30 characters: lowercase letters, numbers, dots and dashes. It cannot start or end with a dot or a dash, or have two dots in a row. Capital letters are turned into small ones for you.

Some names are kept for KalHope, such as info, support, admin and billing, so nobody can pretend to be us. A name that another member already has is refused too. Pick another name and try again.

Chapter 3

Save your password

KalHope makes a strong password for your mailbox and shows it in a green card with your address. It is shown only once and KalHope does not keep a copy. Copy it into a password manager or write it down, then press I have saved it.

You need this password to read your mail. It is separate from your KalHope sign-in password, so changing one does not change the other.

Lost it?

You can always make a new one. See Change, reset or delete.

Chapter 4

Open your mail in the browser

  1. On the Business email page, press Open webmail.
  2. Sign in with your full address (for example yourname@kalhope.com) as the username, and your mailbox password.

This works on a phone or a computer and needs nothing installed.

Chapter 5

Set up your email app

Prefer an email app? Add a new account of the type Other or IMAP and copy the details from the Set up your email app card on the Business email page:

  • Username: your full address, not just the part before the @.
  • Password: the mailbox password you saved.
  • Incoming server (IMAP) and Outgoing server (SMTP): the server names and ports shown on the page, both with SSL/TLS.

Copy the details from the page

The page always shows the current server names and ports, so copy them from there instead of from a guide.

Chapter 6

Change, reset or delete

Choose your own password. You do not need to leave KalHope or know your old password.

  1. Open Dashboard → Settings → Business email. Find the card called Change password, under your address.
  2. Type your new password in the box. Press the eye icon at the right end of the box if you want to see what you are typing. Use 12 or more characters and mix at least three of: capital letters, small letters, numbers and symbols. A line under the box tells you if something needs fixing.
  3. Press the blue Save new password button. A green message says Password changed. The new password works straight away and the old one stops working, so use the new one in webmail and in every email app.

Password refused?

The page warns you about weak passwords before you save. If the mail server still says a password is too weak, make it longer or add more kinds of characters. Your old password keeps working until a new one is saved. You can change a password up to 5 times an hour.

Forgot your password? Reset it. KalHope makes a new password for you.

  1. On the Business email page, in the top card, press the outlined Reset password button (key icon). It sits next to Delete address.
  2. A pop-up asks you to confirm. Press the blue Reset password button on the right. Cancel is on the left.
  3. A green box called Your new password appears under the top card. Press the copy icon next to the password to copy it. It is shown only once.
  4. Press the blue I have saved it button. Then use the new password in webmail and in every email app. The old one stops working straight away. You can reset a password up to 5 times an hour.

KalHope does not keep your password

A password you choose is sent over a secure connection straight to the mail server. KalHope does not store it, log it or show it to anyone. If you forget it later, use Reset password to get a new one.

Another way. You can also change your password inside webmail: press Open webmail, sign in, click your address in the dark blue bar at the top right and choose Password & Security. This needs your current password, so the Change password card is easier.

Delete address. Press Delete address and confirm. The address and all the mail stored in it are permanently deleted, and you can then create a different address. This cannot be undone, so save anything you need first.

Deleting your KalHope account also removes your business email address.

Chapter 7

If your plan ends

If your Enterprise plan runs out, your mailbox is paused. You cannot sign in or receive new mail while it is paused, but your existing mail is kept. The page shows a Paused badge and a Renew plan button.

When you renew in Billing, your mailbox turns back on the next time you open the Business email page. A Lifetime plan never expires, so it is never paused for this reason.

While paused, you can still delete the address if you want to.

Chapter 8

If something is wrong

  • “Not included in your plan.” Business email is for Enterprise and Lifetime. Upgrade in Billing.
  • “Your plan has expired.” Renew your Enterprise plan. Your mail is kept and the mailbox turns back on after you renew.
  • “That name is reserved” or “already taken.” Choose a different name.
  • “Business email is temporarily unavailable.” The mail service cannot be reached right now. Try again a little later.
  • Your email app says the password is wrong. Use the full address as the username, and the mailbox password, not your KalHope sign-in password. If you are not sure of it, reset it.
  • You cannot sign in to webmail. The same applies. If your mailbox shows Paused, your plan has ended.
